Organization Overview:
Neighbors Immigration Clinic (NIC) is an immigrant-led nonprofit law office providing high-quality, low-cost immigration representation while proactively organizing alongside immigrant communities to support the flourishing of Kentucky. Immigrants serve in leadership across both NIC’s staff and Board of Directors. NIC is an affiliate of the Immigration Law and Justice Network of the Global United Methodist Church. Rooted in welcoming our immigrant neighbors, NIC has provided access to legal services across more than 30 Kentucky counties since 2019.
Position Overview:
Reporting to the Executive Director, the Office and Community Specialist supports both the administrative and legal departments by providing essential administrative and clerical assistance, facilitating efficient case management, and serving as a key communication bridge between clients and the legal team. While this position reports directly to the Executive Director, the Specialist may also receive assignments from other staff members as needed.
This position is in-person, based in Lexington, and requires occasional evening and weekend work, as well as limited local travel. Reliable transportation is required, as the role may involve supporting community outreach events such as Know Your Right sessions.
As the first friendly face many clients, community partners, and donors encounter, the Office and Community Specialist plays a critical role in advancing Neighbors Immigration Clinic’s mission. Overall Responsibilities:
Legal & Administrative Support
Facilitate communication between clients and attorneys by answering and returning calls and voicemails, relaying messages, and providing case updates.
Maintain accurate financial records for client and office transactions in QuickBooks, in collaboration with the Executive Director.
Maintain organized electronic and physical filing systems for legal documents and correspondence.
Manage attorney calendars, schedule appointments, and coordinate client meetings.
Prepare and distribute legal correspondence and filings as directed by attorneys.
Serve as a primary point of contact for clients in person, by phone, and via email.
Support intake procedures for new clients, including document collection and grant eligibility screening.
Track case deadlines, court dates, and filing requirements to support timely compliance.
Use billing software to process and record client payments.
Organizational & Community Support
Assist the Executive Director with donor correspondence, fundraising recordkeeping, and donor communications.
Support organizational communications, including managing social media and newsletters.
Skills and Qualifications
Bilingual in one of the primary languages spoken in Fayette County (Spanish preferred; also including Swahili, Kinyarwanda, Arabic, French, or Haitian Creole).
Cultural humility and sensitivity to trauma, victimization, and diverse lived experiences.
Excellent verbal and written communication skills with a client-centered approach.
High school diploma or equivalent required; associate or bachelor’s degree preferred.
Prior administrative experience, preferably in legal, social services, or community-based settings.
Proficiency with Microsoft Office and database or case management systems.
Strong commitment to confidentiality and ethical standards in legal services.
Strong organizational skills and ability to manage multiple priorities and deadlines.
Compensation & Benefits
This is a full-time position with a salary range of $40,000–$55,000, depending on experience and qualifications. Benefits include annual, sick, and parental leave; 10 paid holidays; and paid time off for end-of-year office closures. NIC also provides a monthly health reimbursement of $531 through a QSEHRA, effective within one week of the start date, and a 401 (k).
